Leave planner with entitlement calculation and team calendar
The leave planner in Notory Hora automatically calculates entitlement under the BUrlG, routes requests through a multi-step workflow via team leads and HR, and shows absences in a privacy-compliant team calendar. Because leave, time and sickness live in one database, remaining leave, sickness during leave and target hours interlock cleanly - not in separate tools that drift out of sync.
Leave entitlement under the BUrlG
Minimum leave by working week, pro-rata twelfths for starters and leavers, a six-month qualifying period and additional leave for severely disabled employees - including part-time ratios and individual contractual entitlements.
Requests with enforced cover
A multi-step workflow (employee to team lead to HR where needed) with a central approval dashboard. Cover can be made mandatory, so no leave gets approved without proper coverage in place.
Privacy-compliant team calendar
Colleagues only see "absent" in the calendar, not the reason. Managers and HR see the category within the scope of their role. Visibility is granular through permissions management, with templates (public / team / HR only).
Forfeiture & carry-over by 31 March
Carry-over and forfeiture on a rule basis - but legally sound: remaining leave only lapses once the duty to notify is documented as fulfilled (compliant with the Federal Labour Court's rulings). An automatic forfeiture warning in the fourth quarter heads off surprises.
Blackout periods & minimum staffing
Configurable absence types, overlap and minimum-staffing warnings, and blackout periods (e.g. year-end close). Quotas per team or department with automatic warnings.
Sickness during leave
Anyone who falls ill during leave with a certificate automatically has the days credited back under Section 9 BUrlG. Time, leave and sickness are correctly reconciled against each other - with no manual follow-up needed.
A year of leave, mapped cleanly
At the turn of the year, Hora calculates the new entitlement per contract, carries over remaining leave cohort by cohort, and flags where the duty to notify is still open. An employee requests two weeks in summer; the system enforces cover and checks the team's minimum staffing. Midway through the leave a certificate arrives - the affected days automatically move from leave to sickness. In December, the planner reminds everyone facing forfeiture, so no one loses their entitlement and the employer can demonstrably prove it met its duty to notify.

Questions on the leave planner
How does the leave planner calculate leave entitlement?
Under the Federal Leave Act (Bundesurlaubsgesetz, BUrlG): minimum leave depending on the working week, pro-rata twelfths for starters and leavers during the year, a six-month qualifying period, and additional leave for severely disabled employees. Part-time ratios and individual contractual entitlements can be stored as well.
Does remaining leave automatically lapse on 31 March?
The planner maps carry-over and forfeiture by 31 March on a rule basis - but only in a legally sound way: remaining leave only lapses once the employer's cooperation and duty-to-notify obligations are documented as fulfilled (Federal Labour Court (BAG) ruling 9 AZR 541/15). Without a documented notice, the entitlement remains in place.
Can colleagues see my reasons for leave in the team calendar?
No. In a privacy-compliant way, the team calendar only shows colleagues that someone is absent - not the category or the reason. Managers and HR see the type of absence within the scope of their role; visibility is controlled granularly through permissions management.
What happens if I fall ill during my leave?
Anyone who falls ill during approved leave with a medical certificate automatically has the affected leave days credited back under Section 9 BUrlG - they then count as sick leave, not as leave.
