Guide

IT inventory that adapts to you

IT inventory management creates a current, traceable overview of all IT assets of an organisation - as the basis for operations, security, compliance and budget. This guide explains what belongs in it, why a good solution should adapt to your processes rather than the other way around, and how Notory does it.

What is IT inventory management?

IT inventory management is the structured capture and ongoing upkeep of all IT assets: hardware and servers, software and licences, networks and IP addresses, SSL/TLS certificates, contracts and sites - including their relationships and responsibilities. From a clean inventory come impact analyses, audit evidence, licence balances and sound decisions. Depending on the business, further objects are added, such as machines (OT) or vehicles.

The philosophy

The software adapts to the customer, not the other way around

Most inventory systems force you into a fixed schema. Notory turns that around: you define your own object types, fields, relationships, views and automations - without code. So the software maps your actual workflows, even for unusual objects or processes for which there was no fitting solution before. Industry templates are only a starting point, not a corset.

What Notory inventories

Assets & hardware

Endpoints, servers and peripherals with location, warranty, ownership and lifecycle - linked in a typed way into a CMDB.

Network & IPAM

Network segments, VLANs and IP addresses cleanly documented - address assignment stays traceable and collision-free.

Software & licences

Installed software, licence inventory and contracts with terms and expiry warnings - no licence gaps, no surprises.

Certificates & compliance

SSL/TLS certificates with expiry monitoring, plus an audit log and evidence for ISO 27001, BSI baseline protection and internal reviews.

Auto-discovery & API

Capture devices automatically and sync them via REST API, webhooks and import/export with your tools.

Custom object types

Machines, vehicles, medical devices or whatever else your business needs - as their own object type with free fields, without code.

Dynamic inventory instead of a rigid catalogue

Businesses change: new sites, new object kinds, new processes. A dynamic inventory grows with them, because you adjust the data model and automations yourself at any time - without a migration project and without programming. That is exactly the core of Notory: flexibility as data, not as bespoke development.

IT inventory, ITAM, CMDB and discovery

IT inventory

The inventory itself: which assets, licences, networks and certificates exist, where they are and who is responsible. The basis for everything else.

IT asset management (ITAM)

The lifecycle of those assets: procurement, assignment, cost and depreciation, maintenance and decommissioning. Builds directly on the inventory.

CMDB

The relationships between assets - what depends on what. In Notory it emerges through typed links and enables impact analysis.

Discovery

Automatic capture: a network scan and an optional agent find devices and keep the inventory current instead of maintaining it by hand.

Notory covers all four layers in one system - you decide how deep you go.

Introduced in five steps

  1. 1. Define the data model. Start from an industry template or create your own object types and fields - to fit your processes.
  2. 2. Populate the inventory. Via CSV/JSON import, the REST API or with auto-discovery and the inventory agent.
  3. 3. Set responsibilities and permissions. Define roles, map sites and departments, control access.
  4. 4. Activate automations. Reminders for inspection, maintenance and expiry dates, rules following the trigger, condition, action pattern.
  5. 5. Evaluate and evidence. Saved views, reports and the audit log provide overview and audit-ready evidence.

Frequently asked questions about IT inventory

What is IT inventory management?

The structured capture and upkeep of all IT assets - hardware, software and licences, networks and IP addresses, certificates, contracts - including their relationships and responsibilities. The goal is a current, traceable overview as the basis for operations, security, compliance and budget.

What belongs in an IT inventory?

Endpoints and servers, network hardware and IP addresses (IPAM), software and licences, SSL/TLS certificates, contracts and sites - and optionally further objects such as machines (OT) or vehicles. In Notory you create your own object types and fields for them.

Should the software adapt to my processes?

Yes. Notory adapts to the customer, not the other way around: you configure object types, fields, relationships, views and automations without code. So the inventory maps your actual workflows instead of forcing you into a rigid model.

Is Notory GDPR-compliant and usable self-hosted?

Yes. Notory runs self-hosted in your own infrastructure (Docker/VM/Kubernetes) or as GDPR-compliant EU-hosted SaaS - with role and permission management, an audit log, import/export and a REST API.
